Yes, I’ll show them tomorrow after the team meeting. We’ll install the app and try recording a short call together.

Great. Let’s leave half an hour for that so there’s time for questions. Will everyone be on their own computer?
Participant
Yes. I’ll send the download link today and ask them to bring their laptops. Two of them work remotely, so they’ll join the call.
You
We should also show them how to use folders. Otherwise, a week later they’ll have a long list of meetings and won’t remember which is which.

I’d start with Projects, then a folder for each project. Calls about the same project go together. That should be enough to get going.
You
Yes, and give the meeting a useful title. Something like “Delivery dates” makes more sense later than “Call with the client”.
Participant
Agreed. For regular team meetings, we can keep a separate folder. I’ll show both examples during the walkthrough.
You
Who should they send their questions to? We’ll need somewhere to collect what comes up during the first few days.
Participant
They can send them to me for now. I’ll group them together, and on Friday we can go through everything with the team.
You
Let’s ask them to bring a specific example if something didn’t work as expected. It’ll be easier to figure out what happened.

Good idea. We should also agree on which calls to try first. I’d start with internal meetings that everyone knows are being recorded.
You
Yes, let’s try the team meeting and a couple of project discussions. Then everyone can check whether they can find what they need afterwards.

When shall we meet on Friday? Sales have calls all morning, so the afternoon would be better.

Let’s make it three. Half an hour should be enough to hear how it went and decide what to do next.
