Meeting recording settings

Set a meeting hotkey, choose the window layout and manage meeting notifications.

Meeting settings are spread across Preferences, Hotkeys and Transcription. You can start with the defaults and change only what you need. For the recording steps, see How to record a meeting.

Set a meeting hotkey

  1. Open Oudden settings → Hotkeys.
  2. Find Meeting Mode Hotkey and enter your preferred shortcut.
  3. Wait for it to save. If the app shows an error or a shortcut conflict, choose a different combination.
  4. Try the shortcut when you are ready to make a test recording.

This shortcut starts meeting mode with a recording request. It is different from clicking a calendar reminder, which only opens a note. The voice input shortcut is configured separately.

To stop a meeting, use Stop in the note or in the recording control in the top bar. Do not assume that pressing the meeting shortcut again stops it. To disable the shortcut, click Remove hotkey.

Choose how the window opens

Under the meeting hotkey, use When triggered by hotkey, open in:

  • Full width keeps the main window at its full width.
  • Side panel positions the window at the side of the screen, so it can sit alongside the call or your working document.

This setting applies to launching with the meeting hotkey.

Meeting detection and notifications

Open Preferences in settings.

  1. Under Meetings, enable Automatically detect meetings if you want Oudden to offer a note when it detects a meeting.
  2. Under Notifications, enable Allow notifications.
  3. Enable the notifications you want: Meeting detection, Calendar reminders, or both.

Detection responds to meeting activity. Calendar reminders use connected calendar events and appear a minute before the meeting starts. To receive them, connect your calendar.

The notification's Open note button opens the meeting note. It does not start audio recording. Start recording in the note when you are ready. Disabling notifications does not prevent you from recording manually.

Recognition language

Open Transcription in settings and choose the language of the speech, or automatic detection. This recognition setting is also used for voice input and imported audio.

The interface language is a separate setting. Changing menus to English does not by itself select English speech recognition. See interface and recognition language.

Microphone and system audio

In the current macOS and Windows meeting capture, check the microphone in your system's sound settings, even if you have already selected a device inside Oudden:

  • macOS: meeting recording uses the system input device.
  • Windows: it uses the default communications input, falling back to the default input if a communications device is unavailable.

Check the microphone's physical mute switch and make a short test recording. Also check that the other person's speech appears during an online call. Microphone access and permission for sound from other apps are separate; see microphone and permissions.

There is no separate meeting control for choosing a particular call app as the audio source. Other sound playing on the computer may be captured too.

Original audio

Audio retention is off by default. To keep audio, open Privacy & DataAudio Retention and choose 7, 14, 30, 60 or 90 days. Choose this before you start recording. To change the setting, stop the meeting first.

Audio is kept encrypted on this device. Clear All Audio removes stored audio for this account on the device; text and notes remain. Keeping audio is separate from viewing or exporting the transcript.
